Integrify Announces 1st Quarter Product Release Schedule

The Integrify team has been busy developing and testing our next release, v 5.5. The general availability of this release has been delayed until the end of March, 2012 although we will be providing an update this weekend (January 28th) that will contain some minor updates. Please see below for our updated schedule.

Integrify will also make a beta release of v 5.5 available on February 15th, 2012. This will be a hosted instance that will allow you access to test some of the features in v 5.5. If interested in having a hosted beta instance, please reply to this email.

In addition, Integrify will be hosting two v 5.5 webinars to review the highlights below in more detail. An announcement with the webinar dates and times will be sent prior to the February 15th beta release availability.

Enhanced Process Designer:
There are several new powerful updates within the Process Designer that allow administrators to:
- Drag and drop task types where they are desired in the visual flow
- Easily connect transition lines between tasks
- Expand and display rules and recipients in the flow view
- Easily view the flow (and the rules and task recipients) in print mode
- Copy tasks in your process configurations
- Add free text labels within the flow for notes

Database Connections Library:
Now you can define and save your database connections into a reusable library to choose from for future task configurations.

Streamlined options for searching and filtering:
Common options for adding, editing and deleting all items. Ability to search all lists and delete multiple items from a list.

New Charting Options for Reports:
HTML 5 based charts make reports with pie, line or column charts viewable on HTML 5 compliant devices such as an iPad or Android device.

New Task Display Options:
New task configuration option that allows administrators to display a Request Detail style template above a task. With several new Request Style templates available, there is a lot more flexibility in how you want to present information when users are completing their tasks. For example, you can choose to display the completed forms (from a Request Detail template) above an open approval task.

Calendar View of Tasks:
A new calendar view of tasks for users that want to see when their tasks were assigned, due or scheduled to occur. Management or any group owner can also improve process performance by easily interacting with a group’s workload by monitoring, reassigning or rescheduling tasks from within a group’s calendar.

Inbound Email Monitoring:
A new capability that allows administrators to define an inbox for an email address that you wish to monitor for incoming email messages. When an email message arrives in the inbox, it will generate a new request in Integrify. The data that would be captured will include the following:
- FROM
- TO
- SUBJECT
- BODY
- ATTACHMENTS
These data points could then be used as form prefill-data and within your business rules for routing during process execution.

How Do You Build Solid ROI For a Company's First BPM Project?

Start small, think BIG. Whether it’s a single process or a handful at a departmental level, the best way to build the ROI case for BPM is by gaining traction with your stakeholders and users quickly. A good way to do this is by first documenting how the process is being managed today. Next, identify what costs are associated with each step in the process, including labor (how long is someone spending getting their tasks fulfilled) and any hard costs in order to perform tasks. Identify how process improvements can be made at each point in the process with the capabilities of BPM (i.e. time savings performing tasks, reduced development time associated with adding new processes into the mix, costs associated to taking phone calls to field requests, users unsure of where to submit a request and so on).

It depends on what the process is of course but documentation, associating costs to tasks and identifying cost savings with BPM (through either eliminating inefficient steps in a process, reducing time spent developing custom solutions or fees associated with hardware maintenance – there are BPM in a Cloud options) . Also, pick a few processes that are easily documented and well understood. People will see success with something they are familiar with and then you can move on to more complex processes that may involve significant organizational or operational changes. The ROI for these types of processes is much greater and your users will likely have more patience, interest and experience to help implement something that may have seemed overwhelming without the initial success.

First, there is an overabundance of confusing information out there that can make the leap into BPM seem extremely difficult and time consuming. There are tools designed to model extremely complex processes, tools that orchestrate communication between other systems, tools that are little more than components that a programmer can use in a custom solution – the list goes on.

For most companies, the business process causing their employees the most pain revolve around data input forms, routing, approvals, and notification. Secondary to this would be reporting, metrics and system-system data exchange. Our philosophy is to focus on the 80% of processes that that can be implemented quickly and that will return an immediate ROI. The other 20% require more documentation, multiple decision makers and often a complete re-thinking of why the process exists or what it should be. With the skills learned implementing the “Easy 80%”, organizations have a better understanding of what is involved in process improvement from a software perspective and a cultural/organizational perspective. With proven success under their belts, convincing stakeholders to make more difficult changes become much easier.

The Art of Post M&A Integration

One of the many questions that companies face in a post M&A environment is "How do we identify and manage access rights to existing and new systems that are in place?" Corporate IT is faced with the challenge of determining what systems and projects require new levels of approval. Not only do new approval processes need to be established, but providing a common platform to define and execute processes, document proper approvals and provide users immediate updates are simply not in place to handle the additional workload.

These are common challenges that many IT departments face in the wake of corporate M&A. In order to ease the pain of integrating organizations into a unified corporate structure, required approval processes not only need to be established, but executed through a common system. By adopting technology that can provide this capability quickly and effectively, a post M&A corporation can reduce the chance for unauthorized user access, inappropriate approvals, heavy reliance on IT for end-user support and lost documentation of process activity. While the work was getting done, users were confused about where to go for service and how to make their requests, and management wanted a more organized and efficient method that would more effectively manage and utilize staff and resources.

As a key component of the GlaxoSmithKline post-merger integration toolkit, Integrify solutions facilitated accelerated integration of employees across the merging organizations through secure and authenticated processes that manage their IT business support.

Northern Natural Gas (NNG), on being acquired by MidAmerican Energy Holdings from Enron, was in a situation where they lost a majority of their product licenses and were faced with having to quickly adopt new technologies to support their business. NNG needed something immediately to manage user requests, routing and approvals for IT access and licenses. After searching for a solution that could be implemented quickly and would be flexible enough to meet their current and future needs, NNG turned to Integrify.
